We’ve spoken to countless clients over the last few months who are interested to leverage AI to improve the event planning process and attendee experience, and we only expect to see the interest in AI for events increase as we enter 2025.
We recently hosted a webinar with four key partners in the event industry to reveal how we’re working together to help event organizers create better events with AI. Cvent’s AI solution for strategic venue sourcing, content creation, and more
Any event organizer who has tried to find the best venue for an event knows how challenging it can be. Typically you’ll start searching for venues in your chosen city, then will need to click in and out of each listing to see if the venue fits your needs, whether that’s having enough rooms, the right location, or the right transport links.
Cvent’s Brittany Fisher explained how their new AI-driven natural language search allows you to type in all the specifications you need (such as “San Antonio hotel with 300 rooms within 20 miles of the airport”) and it will automatically match you with a range of suitable venues.
This can be used for everything from huge conferences, where you might need 50 separate meeting rooms, down to small, local networking events where a convenient location is the priority. This significantly cuts down time spent on finding venues, freeing you up to focus on creating the best possible event.
Easy event content creation
But Cvent’s AI support doesn’t stop with venue sourcing. They have also introduced an AI writing assistant with customizable pre-prompts and the ability to integrate relevant content from your event, allowing you to generate session descriptions, speaker bios, survey questions and more, all at the touch of a button.
Personalized session and networking recommendations
Finally, the Cvent attendee app and mobile site makes it easy to match attendees with both session recommendations and people they should meet, all powered by AI. Getting a personalized recommendation makes it 3x more likely the attendee will actually meet a recommended connection at an event, which adds immense value to the networking experience.
edgefactory’s use of AI to enrich show experiences
Designing memorable show experiences is no easy feat, which is why edgefactory’s Brian Cole is so passionate about using AI to enrich the event experience – both for attendees and to make the lives of event organizers easier.
AI event voiceover generation
Brian explained how edgefactory uses AI tools such as Speechify to generate event voiceovers, which is ideal for event planners who don’t have big budgets to engage with production companies. With AI, organizers can use text-to-speech to generate professional, natural-sounding voiceovers in moments, without the need to hire expensive voiceover artists.
Brian also recommended using tools such as PlayHT to create celebrity parody voices. For example, edgefactory generated a conversation between “Dolly Parton” and “Johnny Cash”, complete with an AI-generated country song, for a Nashville event to bring it to life and add some fun to the day. Just be sure to clarify in your intro and outro that the voices are parodies and not the real deal!
